Job Definition

  • Assist CEO, represent him in the company during his absence,
  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings,
  • Handling internal and external communication, organising the agenda of CEO,
  • Assist CEO with preparation of presentation materials, agendas of the meetings as needed (preparation, printing, translation etc....),
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner,
  • Arrange travel schedule and reservations for CEO,
  • Organizing daily/weekly plans and preparing the agenda for the meetings,
  • Organising and attending meetings and ensuring the participants are well-prepared for meetings,
  • Assist CEO in meetings, conference calls as needed by taking notes or dictations at meetings, conference calls or to provide general assistance during presentations,
  • Responsible for management committee meeting notes and follow up,
  • Coordinating the communication among the departments.

Qualifications

  • University degree,
  • Minimum 2 years experience supporting at the executive level,
  • Excellent calendar management skills, including the coordination of complex executive meetings,
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook,
  • Experience scheduling travel arrangements,
  • Excellent communication and organizational skills,
  • The ability to maintain confidentiality and display excellent judgement,
  • Multi-task oriented, well organized,
  • Proactive, flexible and open-minded personality,
  • Good command of English both verbally and written.
