Job Definition

JOB DESCRIPTION

Providing regular reception and office administrative service between working hours.

· Management of incoming calls.

· Supervise the incoming and outgoing shipments/mails

· Issue visitor badges for all guests.

· Provide guest internet access if /when required

· Meeting and greeting visitors.

· Ensure the reception desk is kept clean and tidy at all times in line with company standards.

· Provide prompt, efficient and polite response to both visitors and employees either face to face, via the telephone and e-mail communication.

· Management of meeting rooms booking and preparation of the rooms according to the employee needs.

· Acting as a single point of contact for employee and visitor requests and inquiries

· Management of office supplies and stationery stock levels.

· Ensure the office space is kept in line with the company standars (cleaning, technical quipments checking etc) via daily walks

· Timely reporting of any issues to the direct line manager that impact in the office space and employee experience (critical equipment failure, Landlord related issues, Healt&Safety and first aid reporting)

· Represent Workplace Resources as the poınt of contact for building management and LL with regard to building related subjects.

· Prepare and submit routine Facility Management operation related reports to direct line manager.

· Manage relationships with service suppliers and vendors to ensure contractual SLAs and KPI are met (HVAC, Electrical, cleaning services ....)

· Administrating internal company tools and processes. (Procurement, Performance management, ...)

· Carry out operational duties directed by management.

Qualifications

QUALIFICATIONS & SKILLS

· University or High School degree

· Minimum 2 years of related work experience

· Strong written and verbal communication skills in English.

· Good communication skills-both verbally and in writing

· Good level of MS Office programs

· Always targets to advance service quality wıth can do attitude.

· Analytical thinking
